What AI automation consulting actually means
AI automation consulting starts with how your business runs today. A consultant looks at your workflows, finds where manual work or delays cost you time or money, then recommends and builds automation that fits.
That's different from buying an automation tool and hoping it fits. A tool gives you building blocks. Someone still has to work out which tasks to automate and how the steps connect. They also decide where AI should read or decide something, and where a person should check the result. That's the consulting part.
We do both halves: we find the work worth automating, then build it into the tools your team already uses. Still deciding whether automation is the right answer? Our AI consulting services cover the wider question of where AI fits in your business.

Why this matters
Manual data work is slow, error-prone and quietly expensive. Automating it gives your team hours back every week, cuts costly mistakes, and lets you grow without hiring for busywork.
Who needs an AI automation consultant
Automation pays off most where a few people carry a lot of repetitive work. The signs are usually easy to spot:
- Manual back-office work: invoices keyed in by hand, spreadsheets updated every week, reports rebuilt from scratch every month.
- Repetitive customer or vendor communication: the same follow-ups, status updates and reminders, sent one at a time.
- Data entry spread across disconnected tools: copying details from email into the CRM, from the CRM into accounting, and back again.
This is usually a job for an ops manager who owns the process, a founder watching hours go to busywork, or a finance lead who dreads month-end. You don't need a technical brief. You just need to know where the time goes.
How our AI automation consulting process works
Each step ends with something you can see. You decide after each step whether to go on.
- Discovery and workflow audit. We walk through how your team works today, step by step: who does what, in which tool, and where work waits or gets redone.
- Opportunity mapping. You get a written roadmap listing the tasks worth automating, ranked by effort and payoff. Each comes with a rough sense of the time or cost it could save.
- Pilot build. We build the first workflow and connect it to your existing tools. It runs on real data alongside your current process, so you can compare results before anything changes.
- Deployment. Once the pilot holds up, we switch it on for your team and retire the manual steps it replaces.
- Ongoing support. We monitor every run, fix anything that breaks when a vendor changes an API or a form, and add new automations as your needs grow.
You talk directly with the people designing and building your software.
What we automate with AI
Good candidates are tasks that happen often, follow a pattern and involve reading or sorting information. A few examples by business function:
- Invoice and AP/AR processing. AI reads invoices in any format, matches them to purchase orders and receipts, and flags mismatches for review. Our procure-to-pay AI agent covers this from purchase order to payment.
- Procurement approvals. Purchase requests go to the right approver by amount, department and budget owner, with a full audit trail. This is part of the same procure-to-pay work.
- Customer support ticket triage. Routine questions are answered from your help content, and the rest go to the right person with the full conversation. See the customer support AI agent.
- Lead qualification. New enquiries are scored against your ideal customer, and good fits get a meeting booked with your team. See the front desk AI agent.
- Recruitment screening. Applications are screened against the role's criteria, interviews are scheduled and candidates get timely updates. See the recruitment AI agent.
Behind all of these sits plain data work: moving records between systems, updating spreadsheets and building reports without anyone copying and pasting.
AI automation consulting vs off-the-shelf automation tools
Tools like Zapier or Make are a fine choice for simple, well-defined tasks. If you want a new form entry to create a CRM contact and post a message to your team, set it up yourself. You don't need a consultant for that, and we'll tell you so.
Custom AI automation makes more sense when:
- The workflow is complex, with many steps, exceptions and branches that break simple if-this-then-that rules.
- It involves judgment calls, like reading a contract, deciding whether an invoice really matches, or working out what a customer is asking for.
- It needs to connect several internal systems, such as your ERP, CRM, help desk and shared drive, and keep them in sync.
Often the answer is a mix: simple tasks stay in a tool you already pay for, and the complex ones get built properly.
What it costs to work with an AI automation consultant
The consultation and written roadmap are free. After that, a short paid scoping phase maps the chosen workflow in detail. You then get a fixed price for the build before any work starts. What drives that price:
- Scope: how many steps the workflow has and how many exceptions it has to handle.
- Number of workflows: one automation costs less than a set of connected ones.
- Integrations: how many systems it touches, and whether they have usable APIs.
- AI steps: how much reading, sorting or drafting the AI does, and how much testing that needs.

Automation projects we've built
Two projects show what this looks like in practice.
- Invoice automation for a mid-sized manufacturer. We started by shadowing the finance team through a month-end close. The platform we built extracts and validates invoice data and cross-checks it against the ERP, cutting processing time from hours to seconds. Read the AP and AR automation case study.
- Hiring software for an HR tech company. We built resume parsing and ranking, automated voice interviews and two-way sync with the client's applicant tracking systems. Read the recruitment automation case study.
What you get
- Documentation and training for your team
- Full ownership of the code and workflows we build
